Use this page to request deletion of your Epic Schools account and associated personal data.
What Happens After You Submit
Submitting a request starts a review. Nothing is deleted automatically, and your account stays active while we review it. Once the review is complete, we will delete or anonymise your data, or tell you what we need to keep and why.
How Long It Takes
We will respond to your request within one month of receiving it. If your request is complex, we may extend this by up to two further months. If we do, we will tell you within the first month and explain why.
Where records are held on behalf of your school, we will pass your request to the school and let you know we have done so.
When we respond, we will tell you what has been deleted and what has been kept, with the reasons.
Request Through the App
If you have access to the Epic Schools app:
- Sign in to your account.
- Open Profile.
- Select Delete my account.
- Follow the instructions to submit your request.
Submitting a request through the app starts the same review as the form on this page.
Request Without the App
You do not need to install the Epic Schools app to submit a request through the secure form on this page.
Use the details for the individual account you want reviewed. If you have accounts associated with more than one school, identify the school account concerned.

What Your Request Covers
Your request concerns the individual Epic Schools account you identify.
Deleting an account is not necessarily the same as deleting every record relating to that person. Some records are managed by your school and may require a separate decision about deletion or retention.
For example:
- A request concerning a parent’s account does not automatically delete their child’s account or attendance records.
- Your request does not delete another guardian’s account.
- Shared school records and other users’ accounts are not automatically deleted by your request.
- Attachments and evidence may form part of a school record, rather than belonging solely to the person who uploaded them.
Our response to your request will explain which personal data has been deleted, anonymised or retained, why any data is retained, and for how long.
School Records and Retention
The treatment of school records will depend on the school’s responsibilities and applicable legal requirements.
Records that may need to be kept for a period include:
- Attendance and assessment records.
- Medical and safeguarding information.
- Forms, consent records and supporting evidence.
- Financial and registration records.
- Messages and shared attachments.
- Audit and security records.
- Backups and records held by service providers.
How long these records are kept depends on the school’s legal and safeguarding obligations, any statutory retention requirements, and whether a record is needed for an ongoing matter. Where we keep any of your data, we will tell you why and for how long.
How Long Data Is Kept
- Your account data: deleted or anonymised within 30 days of your deletion request being completed, except where it forms part of a school record or is listed below.
- Security and audit logs: 12 months, unless needed for longer to investigate a specific incident or resolve a dispute.
- Records of deletion and data rights requests: 2 years after the request is closed, so we can show it was handled properly.
- Financial and billing records: six years from the end of the financial year they relate to, to meet UK tax and accounting requirements.
- Backups: overwritten within 30 days. Until then, deleted data in backups is used only to restore the service.
- School records: kept for as long as your school instructs, based on the criteria above.

School Administrators
If you are the only active administrator for your school, an administrator handover may be needed before your account can be removed.
Please contact us if you need help arranging a replacement administrator.
